Exhibition design Shanghai: Brand experience for the Chinese market

Shanghai is widely regarded as China's gateway to the world, offering German companies strategic access to the Asian market. As the country's economic centre, the metropolis plays a key role in bridging Western brand concepts with the demands of Asian markets.

However, exhibition design in China – particularly in Shanghai – operates by different rules than in Europe. Successful brand experiences require far more than technical excellence: They demand cultural understanding, reliable local partnerships, and the ability to navigate regulatory and logistical challenges with confidence.

Between Guanxi and customs regulations: The reality on the ground

The Chinese market operates according to its own principles that differ fundamentally from European business practices. Cultural codes, administrative processes, and technical requirements interlock in ways that are nearly impossible to navigate without proper preparation. The following three factors deserve particular attention.

Guanxi: Why relationships matter more than contracts in China

One concept stands above all else in Chinese business: Guanxi (关系). The word translates as "relationships," but describes far more. It refers to a network of mutual obligations, trust, and long-term commitments.

Without solid relationships with local partners who have established networks, even perfectly designed exhibition stands can fail due to bureaucratic hurdles or logistical problems.

Logistical complexity: Planning as a success factor

The logistical challenges of exhibition design in China differ considerably from European projects. Complex customs regulations and import procedures require precise documentation and substantial lead times.

Transport routes of several weeks must be factored in, and local safety standards and certification requirements need to be met. Language barriers affect not only communication with local partners, but also technical specifications and safety documentation. What counts as standard in Germany often needs to be re-certified for the Chinese market.

Those who underestimate this complexity face unpleasant surprises: Delayed deliveries, missing permits, technical incompatibilities. In a market where deadlines are absolute and trade fair dates cannot be postponed, this can threaten a company's very existence.

Legal framework: Standards that matter

Chinese exhibition halls are subject to strict fire safety regulations that differ from European standards. Electrical installations must comply with Chinese standards, and occupational health and safety guidelines must be followed precisely. Local approval procedures follow their own logic, while environmental regulations and sustainability standards are being monitored with increasing rigour.

These legal requirements are non-negotiable. Violations can result in immediate exclusion from the trade fair – with all the financial and reputational consequences that entails.

Our experience becomes your competitive edge

Our expertise in exhibition design in Shanghai is not based on theory, but on practical experience and proven partnerships. In 2018 and 2024, we designed and delivered exhibition stands for Perkins at bauma China. A member of our design team flew to Shanghai for the build-up and the first days of the trade fair to actively support the assembly team and provide hands-on guidance to our client.

What did we learn? Success in China does not come from transferring German concepts, but from the right combination of local know-how and German quality. Our network of assembly teams, service providers, logistics partners, and consultants knows the exhibition halls, navigates customs procedures, and understands the cultural nuances that determine success or failure. From initial planning to Guanxi-based problem-solving to on-site assembly.

Let's talk.

Between customs regulations, Guanxi networks, and cultural codes lies the difference between a successful trade fair presence in China and a failed one. We develop stand concepts that connect German brand identity with Chinese market logic. With local partnerships that solve problems before they arise – and years of experience from successful projects in China.
